Invoice settings and layout

Invoices get their own layout card in Settings > Documents, separate from estimates, with its own save button.

1. The Invoices card

Described as "Layout, line-item fields, and totals display". Same idea as the estimate card, tuned for billing.

The toggles are Logo, Customer Details, Business Details, Line Items, Total, Footer and Note. Note that invoices have no Terms toggle, which estimates do. Terms belong on the quote, where the customer agrees to them, rather than on the bill afterwards.

2. Save Invoice

A separate button from Save Estimate. Changing the estimate layout and clicking Save Estimate does nothing to your invoices, and the reverse is also true. Catches people out.

What to keep switched on

For an invoice specifically:

  • Business Details on, always. Your legal name, address and tax number are what make it a valid document.
  • Total on, so the tax breakdown is visible. Customers query totals they can't reconstruct.
  • Line Items on, itemised. A single line reading "Services rendered, $200.81" is the fastest way to get a payment queried.
  • Logo on, because it makes the invoice recognisable in an inbox full of bills.

Tips and gotchas

  • Two save buttons on one page. Save Estimate and Save Invoice are independent.
  • Itemise. Vague invoices get queried and paid late.
  • Terms live on estimates, not invoices.
  • Send yourself one before the first real customer sees it.
